For ROE4, Trekk designed and built a website that integrates course registration and payment for a seamless booking experience.

From registration to evaluation
The Regional Office of Education #4 (ROE4) provides services, support, and professional development to educators, schools, and families. They were due for a new website, and they needed it to include course booking functionality for their professional learning.
Technical requirements included the ability to:
- List courses with both open and closed enrollment
- List both free and paid courses
- List courses only accessible to those with the link
- Send users down different registration flows based on course type
- Filter courses by type and format (online, in person, or hybrid)
- View courses in a calendar view
- Feature specific courses throughout the website
- Accommodate users booking for themselves or someone else
- Process payments for paid courses
What’s more, the team desired automated email workflows that would confirm course registration, send course reminders, send check-in emails, and send post-course evaluation emails. The course evaluations in particular are crucial, as they help educators receive professional development credits from the state Board of Education.
Finally, the solution needed to be intuitive for the audience of educators ROE4 serves and user-friendly for the ROE4 team to manage and update on the backend.

Using HubSpot’s Content Hub, courses object, memberships, and payment features, we built a custom solution that lives entirely in one system.

One system for course management and customer service
The new ROE4 website leverages the benefits of HubSpot’s Content Hub, a powerful CMS that can be used to personalize the user experience. The website makes it easy for educators to register and pay for new courses, while the membership feature enables them to log in and view their course history.
Because of the specialized nature of ROE4's registration form, which allows for both individual and group registrations that are paid via either credit card or invoice, the site uses a combination of standard HubSpot workflows and the HubSpot API to format and transmit course registrations.
On the backend, the courses object makes it easy for the ROE4 team to manage upcoming courses, and we used a custom object to manage individual registrations. Course transactions are managed through a deal pipeline, making it easy to see which registrations are pending payment and which are paid.
Regular communications with course attendees are highly automated, freeing up the ROE4 team to provide excellent service to anyone who needs help using HubSpot’s Inbox. Meeting links were also used throughout the site to make it easy for educators to book appointments with ROE4’s licensure specialists.
A quick turnaround leads to a lasting relationship
The redesigned ROE4 website and integrated course registration system was built over the summer to launch at the start of a new school year. Within one month, the client reported that the ease of navigation and seamless registration flow had resulted in a better experience for ROE4's user base.
It has allowed us to provide customer service in ways that we've never provided it before. Plus, we are able to track our data, from all of our services to the meetings people schedule with us, so that we have tangible, measurable outcomes to report.

What's more, shortly after go-live, the website garnered industry honors for ROE4, including an Award of Excellence from the Illinois Chapter of the National School Public Relations Association (INSPRA).
